About the company
Munnelly Group Receptionist will be the first point of contract for our organisation. The receptionist duties will include offering administration support across the organisation. You will welcome guests and greet people who visit the building. You will also coordinate front-desk and building facilities activities. You will also act as receptionist for external tenants in the Munnelly House Building.
You will act as first point of contract for the businesses within Munnelly House, including distributing correspondence and redirecting phone calls.
1. Front of House
1.1 Act as first point of contact to all visitors to Munnelly House.
1.2 Answering phone calls for all sectors of the business in a professional and helpful manner, re-directing calls where necessary.
1.3 Ensuring all incoming and outcoming post is processed in a timely manner.
1.4 Keeping the appearance of the Reception area professional, clean and tidy to give visitors the best first impression of the organisation.
1.5 Issuing employees with visitor passes and ensuring that all visitors are correctly logged on the system.
1.6 Group wide stationary and consumables orders
2.1 Completing daily check of the building and reporting issues when needed.
2.2 Setting up board rooms daily in preparation of meetings.
2.3 Facilitating the car parking spaces.
2.4 Diary management and booing of the meeting rooms.
2.5 Logging employees security cards on the door entry system, ensuring that this system is kept up to date and all leavers are removed in a timely manner.
3. Invoicing processing
3.1 Raise monthly client rental invoices and liaise with Finance and clients to ensure prompt payment.
3.2 Raise monthly client service charge invoices and liaise with Finance and clients to ensure prompt payment.
3.3 Ensure all supplier invoices are printed and sent to the relevant department for approval.
